About the job

What you know

The SPL division sets the normative framework in regards to procurement, logistics and travel services. About the role:

Your main responsibilities and tasks will include - but are not limited to:


• Perform data entry and administration in relevant systems, such as Unit4 Business World On! from creation of parts to maintenance throughout their lifecycle. 
• Take ownership of ESS internal Product Catalogue (webshop) in ERP system for ordering products included in the framework agreements. 
• Manage analyses related assignments to support B2B key initiatives. 
• Take ownership of Punch-outs (external web shop connections), participate in, and lead the work of gathering requirements from internal stakeholders regarding new OCI connections when required by business. 
• Act as First line ERP support for procurement and be a bridge between Procurement and IT division
• Be an active part of the Technical Procurement group to support Fixed Assets project. 
• Support the setup and on-boarding of new direct material suppliers.
• Collaborate, present information and build relationships within relevant ESS divisions.
• Take own initiatives and be creative within the field of analytics, optimization and data.
• Create and maintain user guideliness for procurement users for existing as well as new functionalities. 
• Create and maintain technical guidelines for knowledge sharing to be used by back up resources.
• Provive assistance to ESS staff in understanding ordering process using different electronic ordering techniques. 
• Support in managing low-value direct procurements independently, including review/revision of requests and quotations, preparation, submission and confirmation of purchase orders during peak time and when needed.
• Manage projects with limited oversight from manager.
• Any other duties or assignments as requested by the supervisor.

About you:

To thrive with us in the Procurement Administration Group we would expect you to have the following background: 


• Bachelor's degree or equivalent experience in relevant field
• Five years or longer of experience in a support function, preferably IT/System support 
• General understanding of how system integration works
• Good exposure and understanding of processes and systems, ideally in the area of public procurement
• Experience of working in an international environment is essential

We are searching for a Spanish-speaking Sales Administration Officer to join a team supporting a European customer base. The responsibility of the team is to handle all the administrative tasks for the spare part orders, from initial contact with the customer to coordination and follow-up of transportation to the customer’s destination.

As a Sales Admin Officer, you will be a key player in the organization and for driving customer satisfaction in a direction that aims to increase service, performance & quality. You are also fluent in Spanish and can service and support the Spanish-speaking customer base in a professional manner, verbally and in writing. Key areas of responsibility for the Sales Administration Officer:

Be the front-line operator in one or more languages (~75% of work)

- Main point of contact for customers & market companies for parts orders and inquiries.
- Respond to incoming orders and queries per phone and e-mail, utilizing a network of colleagues & external partners for support
- Execute order administration tasks in SAP and other internal tools & systems.

Som Inköpskoordinator i Material Supply teamet är du en viktig del av verksamheten och involverad i alla delar av inköpskedjan. Detta är en relativt ny roll i teamet och det finns stora möjligheter att påverka och utveckla teamets arbetssätt.

Vad kommer du att jobba med?
Du kommer att arbeta med att ta emot, registrera och uppdatera inköpsorder i IFS. Du ansvarar för leveransbevakning för både inkommande och utgående leveranser. Att göra presentationer och analyser av materialtillgänglighet är också en del av dina arbetsuppgifter. I syfte att utveckla teamets arbetssätt är du med och driver förbättringsarbete inom gruppen. Efter hand som rollen utvecklas kan fler spännande arbetsuppgifter tillkomma.

We are now looking to appoint a Procurement Administrator for the Procurement, Supply and Logistics (SPL) division.

The SPL division sets the normative framework in regards to procurement, logistics and travel services. It provides procurement and logistics services and guidance or the organisation, including ESS staff, in-kind partners and other stakeholders, in order to ensure a functional, efficient and cost-effective supply chain in compliance with relevant rules, processes and procedures. The vacant role is placed in the Procurement Administration Group. 

About the role:

As the successful candidate for the Procurement Administrator role your main areas of responsibility will be to:


• Prepare and monitor purchase orders
• Respond to internal and external requests for information related to procurement
• Support the Group Leader Procurement Administration and Procurement Officers in procurement matters
• Maintain procurement files
• Keep data and price lists up-to-date in the procurement module of the ERP system and EAM
• Support the Head of Division with data projects
• Prepare procurement related reports
• Prepare Requests for Quotations
• Conduct larger tender procedures from time to time with support from the Group leader
• Other duties or assignments as requested by the supervisor

About you:

We would expect you to have the following background: 


• University degree in a relevant field or A-levels / high school diploma with related experience.
• At least 3 years of relevant work experience, preferably in a procurement function or an administrative function in a commercial working environment.
• Good exposure and understanding of administrative processes and systems, ideally in the area of public procurement. 
• Experience in data management and monitoring. 
• Fast and accurate computer skills, MS Office are a must. Proficiency with ERP systems, in particular Agresso, is an advantage. 
• Experience of working in an international environment is essential. 
• Excellent oral and written English skills are a prerequisite; knowledge of other European languages (especially Swedish) is an advantage.

Duration & Location
The position is a fixed term position of 3 years. 

Your work place will be situated in Lund, Sweden.
